During the COVID-19 pandemic, the Office of the Attorney General (OAG) faced the challenge of relocating to a new office building with limited space. To ensure the safety of its employees and comply with CDC and NIH guidelines, OAG needed a reliable hoteling solution. Avid Systems was chosen to provide a solution that could address these safety concerns while maintaining an efficient working environment.
Avid Systems delivered the Modern Workspace (MW), an innovative platform designed as an Integrated Workplace Management System (IWMS). Leveraging existing Office 365 components, including SharePoint Online, Power Apps, Microsoft Teams, and Power BI, MW was built with security, simplicity, and ease of support in mind.
The implementation of Modern Workspace enabled OAG to successfully adapt to a hybrid work environment while maintaining control over office space usage, health protocols, and user experience. The solution delivered clear operational benefits across multiple dimensions:
Modern Workspace allowed OAG employees to reserve desks based on their needs and schedules, helping the agency manage limited office capacity more effectively. The reservation system reduced the risk of overcrowding and supported staggered in-office attendance.
With the app embedded into OAG’s familiar Microsoft 365 tools, employees could easily access hoteling features without logging into a separate platform. This significantly lowered the barrier to adoption and minimized the need for training or support.
By automating the reservation and tracking process, the solution reduced reliance on manual coordination by HR or administrative staff. Real-time availability and automated confirmations helped streamline day-to-day office operations.
During the height of the pandemic, the built-in reporting and contact tracing capabilities provided essential data to ensure safe occupancy and compliance with public health recommendations. The system empowered OAG to respond swiftly to any health-related concerns.
What began as a response to a crisis became a long-term asset. The flexibility of the Modern Workspace platform allowed OAG to continue using the system as workplace needs evolved — supporting hybrid scheduling, asset management, and future integrations.
